Contractor CRM rollout plan for your team
Set up lead stages, ownership, follow-up and handoffs with a practical contractor CRM rollout plan and first-week checklist.
By the HomeVision team
Map the process your team actually uses
List the stages an opportunity moves through, from first inquiry to approved work. Define what each stage means and what must happen next. A clear stage should communicate progress, rather than simply reflecting that somebody opened the record.
Record lead source, customer details, service needs and ownership consistently. Keep the first rollout focused on the information reps and office staff need every day. Add further structure when the team understands how it supports the workflow.
Give each role a repeatable routine
Assign the person responsible for a new opportunity and the next follow-up. Reps need a reliable view of their pipeline and activity. Office staff need enough context to coordinate appointments and keep customer information current.
Use a few demonstration opportunities during training. Walk one lead from intake through estimate, proposal and scheduling so each person can see both their action and the handoff it creates for the next role.
Review adoption through real handoffs
At the end of the first week, review opportunities with missing owners, unclear stages or no next action. Ask where staff still rely on side conversations to understand a job. Improve the routine around those gaps.
Connect further modules as the team is ready: documentation for field context, materials and scheduling for production, Bill Vision for expenses and payments for customer collections. Keep the common project record visible through each step.
