Jobsite photo documentation checklist for contractors

A practical Before, Progress and After photo checklist, with tagging, project context and a reusable field documentation template.

By the HomeVision team

Start with the job record

Create a consistent record for each project before the crew starts. Include the work-order reference, service address, project area and the person responsible for documentation. A useful photo should explain which job it belongs to and what the team is looking at without a separate text conversation.

Use an overview photo to establish location, then closer photos for the actual condition or work. A close-up of a damaged component is easier to interpret alongside the room, elevation or surrounding assembly. Keep the original documentation available as the job progresses.

Use Before, Progress and After with a clear purpose

Before photos record starting conditions and the agreed work area. Progress photos document stages that may later be concealed, decisions, deliveries and changes. After photos show completed scope, remaining punch items and the final condition of the work area.

Repeat a few consistent viewpoints so office staff can compare stages. Add a short description of what changed and use tags for areas, trades or recurring documentation needs. Markup can draw attention to an item; keep enough surrounding context for the next person to understand it.

Choose the right audience for the update

Review internal and customer-visible documentation separately. A customer update should explain progress and next steps in plain language. Internal inspection notes, unresolved questions and staff-only material belong in the appropriate internal workflow.

Before moving on, check whether media is retained on the device, queued for upload or available to the office. An upload queue is useful in the field, but the handoff should make its current state clear to everyone waiting on those records.
