Sales-to-production handoff checklist for contractors
Carry approved scope, selections, measurements, documentation, materials and payment checkpoints into a clear contractor production handoff.
By the HomeVision team
Hand over the approved version
Start the handoff with the approved proposal and selected package. Distinguish accepted scope from earlier options, open questions and work the homeowner has not approved. Include relevant terms, exclusions and decisions so production does not have to reconstruct the sale.
Attach the measurement or estimating context used to prepare the scope. For roofing, make report fields and material assumptions easy to find. For remodeling, include selected fixtures, finishes, scope sections and decisions that affect installation.
Make readiness visible to the next team
Name the owner of the next action and the conditions that must be met before scheduling. Review material readiness, access, customer coordination and any agreed payment checkpoint. Keep unresolved items explicit instead of allowing an estimated start date to stand in for readiness.
Give the office and field team the same project reference. Scheduling, materials and documentation should point back to that record so a change can be understood in context. Include the person to contact when a detail conflicts with field conditions.
Continue the record through completion
Begin project documentation with the starting condition, then capture progress and completed scope. Use customer updates to explain meaningful changes and next steps. Keep internal coordination accessible to the responsible staff.
Review punch items and closeout together with relevant documents and payment status. A completed handoff is more than a calendar entry: the next team should understand what was sold, what is ready, what remains open and who owns it.
