A contractor receipt and expense approval workflow
Organize receipt capture, review, work associations, manager decisions and exports with a reusable contractor expense checklist.
By the HomeVision team
Capture the receipt while the purchase is fresh
Give staff one repeatable place to submit receipt images or PDFs. Capture the entire receipt clearly, including the merchant, transaction date and final amount. For a long receipt, make sure the important sections remain readable rather than relying on a small thumbnail.
Include a short note when the business purpose will not be obvious to the reviewer. Associate the purchase with the correct work order or project when applicable. A company purchase can still need review without being assigned to a specific job.
Review extracted details before submission
Receipt reading can reduce typing, but the submitter should compare the merchant, date and final USD amount with the original. Review uncertain fields and any arithmetic warning. If reading is unavailable, enter the details manually rather than leaving the receipt in an unfinished state.
Keep category selection aligned with the company workflow. Some teams let staff choose a category, while others have the designated reviewer categorize expenses. Use notes for context instead of inventing a work association merely to complete the form.
Close the review loop and prepare an export
Assign responsibility for the pending queue. Reviewers need the original receipt, entered values and work context together. When returning a receipt, give a clear correction reason so the employee knows what to change and resubmit.
Use decision and receipt history to understand what changed. For period-end review, select the relevant dates, statuses and work references, then export the receipt packet and expense report needed by the office. Expense tracking covers company spending; customer invoice collection is a separate workflow.
